A plain-English explanation of what data we collect, why, and what your rights are.

Who we are

Contextive ("we", "us") builds Workhub — an AI-powered document workspace for professional services firms. This statement explains how we handle personal data when you visit contextive.com, request a demo, contact us, or otherwise interact with this website.

It does not cover how Workhub itself processes data inside our customers' Microsoft 365 tenants — that's governed by separate contractual data processing terms, available on request.

What we collect

When you use this website, we may collect:

  • Information you give us — your name, work email, phone number, company, and anything you write in the demo request form, contact form, or emails to us.
  • Technical information — IP address, browser type, pages visited, and timestamps. This is collected by our hosting provider and analytics tooling.
  • Cookies set by third parties — Google Analytics sets cookies on every page to measure how visitors use the site (pages viewed, session duration, approximate location), and HubSpot sets cookies on the demo page to enable form submission and limited analytics. See "Third parties" below.

We do not collect special category data, financial data, or health data through this website.

Why we collect it

We use the information you give us to:

  • Respond to demo requests, sales enquiries, and support questions
  • Schedule meetings and follow up on conversations
  • Send occasional product updates if you've explicitly opted in
  • Improve the website and understand how visitors use it

Our legal basis under GDPR is either your consent (for marketing communications), our legitimate interest in running and growing our business (for sales follow-up after you contact us), or the performance of a contract (for customers).

Third parties we use

We use a small number of trusted third-party services to run this website:

  • Google Analytics 4 — measures site usage (pages visited, time on page, approximate location derived from IP, referring source). IP addresses are truncated by Google before storage. We use this data in aggregate to understand which content is useful and to improve the site. Google privacy policy.
  • HubSpot — powers the demo request form. When the form loads, HubSpot may set cookies for form functionality and analytics. HubSpot privacy policy.
  • Microsoft 365 — we use Microsoft 365 (Exchange Online, Bookings) for our own email and scheduling. If you email us at addresses ending in @contextive.com, that data is processed by Microsoft on our behalf.
  • Web hosting and CDN providers — we use commercial hosting providers to deliver this website. Your IP address and request metadata pass through their infrastructure.

We do not sell, rent, or trade your personal data to anyone. We do not use advertising trackers or third-party advertising networks on this site.

Where your data is stored

Personal data submitted through this website is stored within HubSpot's EU data centres and our Microsoft 365 tenant in the European Union. Analytics data is processed by Google and may be stored on Google's global infrastructure. Where data is processed outside the EU/EEA by a third-party processor, we rely on Standard Contractual Clauses or equivalent safeguards.

How long we keep it

Demo and contact form submissions are kept in our CRM for as long as we have an active or potential business relationship, and for a reasonable period afterwards (typically up to 36 months) for follow-up purposes. After that, records are deleted or anonymised. You can ask us to delete your data sooner — see "Your rights" below.

Your rights

If you're in the EU, EEA, UK, or another jurisdiction with comparable data protection law, you have the right to:

  • Ask what personal data we hold about you
  • Ask us to correct inaccurate data
  • Ask us to delete your data ("right to be forgotten")
  • Object to processing or ask us to restrict it
  • Withdraw consent for marketing communications at any time
  • Lodge a complaint with your data protection authority

Cookies

This website uses a small number of cookies, primarily set by third parties:

  • Google Analytics cookies (_ga, _ga_*) — set on every page to distinguish unique visitors and measure site usage. These cookies expire after up to 2 years.
  • HubSpot cookies — set when you visit the demo page. Used for form functionality and to recognise returning visitors.
  • Hosting provider cookies — your hosting provider may set anti-abuse and load-balancing cookies. These are session-based and contain no personal data.

You can disable cookies in your browser settings, but parts of the site (notably the demo form) may not work correctly.

Changes to this statement

We may update this statement from time to time. The "Last updated" date at the top reflects the most recent change. Material changes will be highlighted on this page. If you've shared personal data with us, we'll let you know directly when there's a meaningful change.
